# Client portal automations

What the client portal does by itself: the action behind the access window, the invitation, welcome and password e-mails a client receives, and the daily job that leaves portal accounts alone, with how to stop each one.

The portal itself runs no scheduled job. What happens by itself starts from a person: the firm grants or renews an access, or a client signs up or forgets a password. Each of these sends one e-mail, at once, in the language of the client's contact, from the company's address. The e-mails a client receives about a document, an invoice or a contract to sign, belong to the app of that document.

## Actions {#actions}

### Grant portal access {#grant-portal-access}

- **When:** someone chooses **Grant portal access** in the **Actions** menu of one or several contacts.
- **What it does:** prepares the access window with the chosen contacts and, for a company, each person filed under it, then opens it. Nothing is granted until **Grant Access** is clicked on a row: [Give a client portal access](give-a-client-portal-access).
- **How to stop it:** it acts only when chosen. Only users with the **Contact** access right at **Creation** can use the window.

## E-mails to the client {#emails}

### Settings: New Portal User Invite {#invite}

- **When:** **Grant Access** or **Re-Invite** is clicked in the access window.
- **What it does:** sends the subject **Your account at** with the company's name, the client's login, an **Activate Account** button and, at the end, the message typed in the window. The link is valid for six days and works until the first sign-in.
- **How to stop it:** it goes with every grant and every re-invitation; there is no switch. Wait to grant the access until the client expects it.

### Settings: New Portal Sign Up {#sign-up}

- **When:** right after a client creates their account, from the link of an invitation or, when the website allows **Free sign up**, from the sign-in page.
- **What it does:** sends **Welcome to** with the company's name, to confirm that the account exists.
- **How to stop it:** there is no switch; it follows each account creation.

### Password reset {#password-reset}

- **When:** a client clicks **Reset Password** on the sign-in page and types their login.
- **What it does:** sends **Password reset**, with a link to choose a new password. The link is valid for four hours.
- **How to stop it:** turn off **Password Reset** in the general settings: [General settings: users and security](/docs/general-settings/users-and-security-settings). Clients then ask the firm to send a new invitation instead.

## Scheduled job {#jobs}

### Users: Notify About Unregistered Users {#unregistered}

- **When:** once a day.
- **What it does:** reminds the person who created internal users that some have never signed in, five days after their creation. It never looks at portal accounts: a client who has not activated their account gets no reminder, and **Re-Invite** is the way to remind them.
- **How to stop it:** an administrator deactivates it in the scheduled actions of the technical menu; the portal does not depend on it.
