# Fixed asset automations

What happens without a click: the daily posting of the entries whose date has come, the offer to create assets when a bill is confirmed, what installation sets up, and how to stop each one.

Fixed assets have no scheduled action of their own: they rely on one daily job of the accounting app, and set a few things up once. Nothing here sends e-mail. The options are explained in [Fixed asset settings](fixed-asset-settings).

## Daily job {#daily-job}

### Posting of the entries whose date has come {#auto-post}

- **When:** once a day, as long as the scheduled action **Account: Post draft entries with auto_post enabled and accounting date up to today** is active. A test or restored copy of the database has it switched off.
- **What it does:** posts every draft journal entry set to post automatically whose date is today or earlier. For fixed assets, these are the depreciation and recognition entries of the records whose **Entry Posting** is **Auto-post at Date**, the default and the value of every installed template; each posted entry lowers the **Book Value** of its record. The same job posts the other entries of the accounting app set to post automatically. An entry it cannot post, for instance because its date is locked, gets the reason in its chatter and is no longer set to post automatically: post it by hand once the cause is fixed.
- **How to stop it:** for one record, choose **Keep as Draft** in **Entry Posting** before **Confirm**; its entries then wait for someone to post them. Entries already written keep the choice they were created with. Pausing a record does not stop them ([Pause or change an asset](pause-or-change-an-asset)). For the whole company, an administrator deactivates the scheduled action in the scheduled actions of the technical menu; this also stops every other automatic posting of the accounting app.

## When a bill is confirmed {#bill}

### Offer to create the assets {#create-assets}

- **When:** a vendor bill or receipt is confirmed with **Asset** ticked and at least one line carrying an **Asset Template**.
- **What it does:** opens the dialog **Create Assets?**. Nothing is created until **Yes, Create Assets** is clicked; then one asset per line is created and confirmed ([Create assets from a vendor bill](create-assets-from-a-vendor-bill)).
- **How to stop it:** leave **Asset** unticked or the **Asset Template** column empty, or click **Not Now**.

## Set once {#once}

### At installation {#install}

For the main company, the module creates the journals **Depreciation**, **Deferred Revenue** and **Deferred Expense**, sets **Depreciation** as the [Depreciation Journal](fixed-asset-settings#depreciation-journal), and puts the other two in the deferred journals of the Accounting settings where those are still empty. It installs twelve categories and twenty-four templates, fills their accounts from the chart of accounts, and creates a **Depreciation Expense** account when the chart has none. Records are numbered *A/000001*, *A/000002* and so on. It also adds three asset checks to the check templates of the tax returns ([Accounting reports](/docs/accounting-reports)) and an export preset, **Fixed Assets Export**, in the export dialog of the list. Change any of them afterwards like any other record.

### When a company gets a chart of accounts {#new-chart}

As soon as a company receives its chart of accounts, it gets its own copy of the templates with their accounts filled from that chart. A failure here never stops the chart from installing; fill the accounts later with **Refresh Now** in [Fixed asset settings](fixed-asset-settings#refresh).
