# General settings: company, languages and appearance

What each option of the general settings does for your contacts, languages, fonts, companies, documents, units of measure and installed web app, and when to change it.

These options shape what everyone sees: the contacts, the language, the fonts, the documents the firm sends and the company behind them.

## Before you start {#before-you-start}

- Changing settings needs the **Administrator** role (**Role** on the user's **Access Rights** tab).

## Contact uniqueness {#contact-uniqueness}

Open **Settings/General Settings**. Below the users, the contacts box keeps the address book free of duplicates:

- **Unique Phone:** on by default; a phone number already used by another contact is refused.
- **Unique Email:** on by default; an e-mail address already used by another contact is refused.
- **Allow Duplicates Within Same Organizations:** on by default; a company and the people and branches under it may share one phone or e-mail.

## Languages and fonts {#languages-fonts}

- **Languages:** shows how many languages are active; **Add Languages** activates another. See [Languages and translations](languages-and-translations).
- **System Font**, **Report Font** and **Website Font:** each shows the font in use; **Configure** chooses another one for the screens, the printed documents or the website.

## Companies {#companies}

- **Update Info:** opens your company to change its name, address, logo and tax details.
- **Manage Companies:** lists the companies of the database. See [Companies and multi-company](companies-and-multi-company).
- **Document Layout:** **Configure Document Layout** chooses how invoices and reports look: the layout, the logo, the colours, the font and the **Custom Report Footer** printed at the bottom of every document.
- **Email Templates:** the two colours of the automatic e-mails; **Review All Templates** opens the list of e-mail templates.
- **Inter-Company Transactions:** when you sell or buy between your own companies, creates the matching order or bill in the other company.
- **Multi-Currencies:** set in the accounting settings; lets you invoice and pay in currencies other than the company's own.

## Units, contacts and the web app {#units-contacts-web-app}

- **Weight** and **Volume:** the units used for products, kilograms and cubic metres or pounds and cubic feet.
- **Send SMS:** sends text messages to your contacts, using credits bought for the database.
- **Partner Autocomplete:** suggests a company's details from its name or tax number when you create a contact.
- **Web App Name:** the name of the application when a user installs Jaah from the browser on a phone or a computer.

Click **Save** to apply your changes.

## FAQ {#faq}

### A contact is refused because its phone is "already in use". {#phone-in-use}

Another contact already has that number. Open the existing contact instead, or, if both belong to the same company, check that **Allow Duplicates Within Same Organizations** is on and that the new contact sits under that company.
