Power of attorney tracking software
Power of attorney tracking software keeps each power of attorney in one record: principal, agents, number, dates and scanned deed. It shows whether the power of attorney is valid today. In jaah law the status is read from the dates, and by default the principal and the agents get an e-mail before it expires. Each hearing checks the power of attorney its case names.
This power of attorney software for law firms and legal departments is one part of jaah law, the law firm management software.
Every power of attorney with its status.
Why powers of attorney lapse unnoticed
- The expiration date sits in a paper file nobody opens.
- Nobody checks it before the next hearing.
- The client hears about the renewal too late.
Two states, read from the dates
Valid power of attorney
Today falls between its release and expiration dates, both included.
Expired power of attorney
Any other day, the days before its release date included.
From the deed to the reminder in five steps
Record the power of attorney
On screen it is an Agency, with its principal, agents, number and release and expiration dates, all five required.
The scanned deed goes in its attachments. Other principals can join it when the firm turns Multi Clients on.
A sub-agencies tab links other powers of attorney already recorded, such as a delegation.
Status from the dates
The status is worked out from the dates whenever it is shown, so no scheduled job updates it.
A Valid or Expired ribbon marks the record, a badge with the same word marks each card, and a filter lists each state.
Link it to the case
A case names its power of attorney on its Other Info tab, among those whose principal is one of the case's clients.
A button on the case then opens it. Validity is not tested there: the hearing check flags an expired one.
Checked at each hearing
Each hearing checks its case's power of attorney on the hearing date.
A banner shows when the case names none or it is not valid that day. When it is valid, the banner names each lawyer with a user who is not one of its agents.
It never blocks saving, and Dismiss hides that problem only.
When the firm turns on the e-mail of tomorrow's hearings (off by default), each lawyer with a user gets one. Each hearing in it is marked Valid or Invalid for that lawyer.

Reminded before it expires
By default, the principal and the agents get an e-mail 3 days before the expiration date.
Other principals get it too with Multi Clients on. The firm sets the days and the template, or turns it off.
It goes once per expiration date, so a renewal with a new date brings a new one. A missed reminder is sent up to 7 days late, never after the expiration date.
With WhatsApp connected, a principal with a phone also gets a message 3 days before. Every 7 days by default, each agent with a phone gets a list of their powers of attorney expiring within 7 days.

What the principal sees
With a portal account, a client sees only the powers of attorney where they are the principal or another principal.
The list shows the number, agents, dates and status, with Valid and Expired filters; each page adds the principals and the details.
What a power of attorney records
| Number | Typed from the deed; required. |
|---|---|
| Principal | The client who gives it, and others with Multi Clients on. |
| Agents | The contacts it authorises, one or more. |
| Dates | Release and expiration, both required. |
| Status | Valid or Expired, from the dates. |
| Attachments | The scanned deed or any other file. |
| Sub-agencies | Other powers of attorney linked to it. |
| Change history | Who changed the number, principal, agents or dates, and when. |
Access rights for powers of attorney
- Three rights per user: Read-only (reads every one), User: Own Documents (where the user is an agent or a follower) and Manager: All Documents.
- Only the manager can delete one.
- A phone's browser opens the same powers of attorney, with the same rights.
What jaah law does not do with powers of attorney
- No connection to any government or registry system: the firm records each power of attorney.
- No Revoked status: one revoked early stays Valid until its expiration date changes.
- The hearing check warns; it never blocks a hearing.
- No PDF report of a power of attorney.
- No message thread on its portal page.
Questions about power of attorney tracking software
What does power of attorney tracking software do?
It keeps each power of attorney with its principal, agents, number, dates and scanned deed, and shows whether it is valid today.
How does jaah law know a power of attorney has expired?
From its dates, each time it is shown: Valid from the release date to the expiration date, both included, Expired otherwise.
Who is told before a power of attorney expires?
By default, the principal and the agents get one e-mail 3 days before the expiration date. The firm sets the days and the template. With WhatsApp connected, a principal with a phone also gets a message, and each agent with a phone a list every 7 days by default.
What does the hearing check look at?
Whether the case names a power of attorney valid on the hearing date, and whether each lawyer with a user is one of its agents. A problem shows a banner and blocks nothing.
Can jaah law record a delegated power of attorney?
Yes, as a sub-agency: a power of attorney recorded on its own, with its own dates and status, then linked in the original's sub-agencies tab. The hearing check reads only the case's own power of attorney, not its sub-agencies.
