Enforcement file tracking software

Enforcement file tracking software follows a judgment after it is issued. It keeps the requests filed with the enforcement court and its answers, the judge's decisions, the sessions and the money collected. In jaah law a financial file adds up its payments and shows what remains. By default, each lawyer with a user gets an e-mail every three days listing their files not marked Finished.

This enforcement software for law firms and legal departments is one part of jaah law, the law firm management software.

Why enforcement files slip

  • The court's answers and the judge's decisions sit in separate papers.
  • Nobody can say at once what was collected and what remains.
  • A suspended file waits until the client calls.

The five states of an enforcement file

  • Draft: recorded, not started yet.

  • In Progress: decisions, sessions and hearings are added.

  • Finished: the work is over.

  • Suspended: on hold, with a reason.

  • Rejected: refused, with a reason.

Open the file

In the Executions app, each file names its client and role, Executor or Executor against him, and its type: Financial, Direct or Family Matters.

The Court field offers only execution courts, with their circuits while the Circuit setting is on, as it is by default.

A file is opened directly, or from a consultation, a client request or a case, and keeps the link. A case needs a won or lost first-instance or final judgment, or must be cancelled.

Track the procedures

Each request the firm files with the court is an enforcement procedure, with its number, subject, date, the court's response and its date.

It moves from Review to In Progress, then Finished. Reject asks for a reason from the firm's list.

Record decisions, sessions and hearings

The judge's decisions and the session minutes are recorded on the file, each with a number, a subject, a date and attachments.

Buttons on the file count them.

Add Hearing opens a new hearing in the Hearings app, filled in with the file, its case and its lawyers.

Record the collections

A financial file records the total amount awarded and the amount the court holds. The paid and remaining amounts follow from the payments.

Each payment records the payer, the amount, the date, the method and a payment document.

The Financial Report prints the amounts and every payment, in the client's language.

Suspend, finish or reject

On the file, Finish, Suspend and Reject each ask for a reason from the firm's list, and the file keeps it with the date.

By default, suspending gives each lawyer a re-execution to-do, due 30 days later. Then a file cannot be suspended if it has no lawyer or a lawyer without a user.

In Progress resumes a suspended file.

Invoice the fees

Create Invoice asks for an amount and drafts the client's invoice, on the product set in the settings: Execution Fees, unless the firm changes it.

The Invoicing tab totals the file's invoices, drafts included, and what is unpaid on them. Users with invoicing rights see the button, except on draft and rejected files.

Reminders, and who receives them

  • Every three days by default, each lawyer with a user gets an e-mail listing their files not marked Finished, rejected ones included.
  • A suspended file gives each of its lawyers a re-execution to-do, due in 30 days by default.
  • Every day, with WhatsApp connected, the files untouched for 30 days by default go out as a PDF. Each lawyer with a user and a phone gets their own, and the supervisor named in the settings, with a phone, gets all of them.
  • Client e-mails at each change of state, new procedure and new decision, once the firm turns them on and picks the templates.

Enforcement reports

Five PDF reports: the Execution Report, the Financial Report, the Enforcement Procedure Report, the Executions List Report and the Neglected Executions Report.

The list covers a creation period and can keep only some states, lawyers or clients.

The neglected report lists the files nobody has changed for 30 days by default, in any state unless the firm picks some, oldest first.

Guide: printing enforcement reports

Access rights for enforcement files

  • Read-only reads every enforcement file of the company and changes none.
  • User: Own Documents works on the files where the user is a lawyer or a follower.
  • Manager: All Documents works on every file, and only a manager deletes one.
  • Phones get the same enforcement files and rights in the browser.

What jaah law does not do with enforcement files

  • The remaining amount is the total less the payments: the amount the court holds is not deducted, and no interest or court fees are added.
  • Amounts are in the company's currency.
  • A file and its procedures have no deadline, and nothing marks them late.
  • Send Report opens an e-mail with the file's subject, type and state for a person to send; it attaches no PDF.
  • It has no connection to a court or enforcement system: the firm records each step itself.

Questions about enforcement file tracking software

What does enforcement file tracking software do?

It follows a judgment once it is issued: the procedures filed with the court, its answers, the judge's decisions, the sessions and the money. In jaah law a financial file also shows what remains to collect.

Where does an enforcement file come from?

It is opened directly, or from a consultation or a client request of type Execution. A case must have a won or lost first-instance or final judgment, or be cancelled. The file keeps the link.

How is the remaining amount worked out?

It is the total amount awarded less the payments recorded on the file. The amount the court holds is not deducted, and no interest or fees are added.

What happens when a file is suspended?

The file keeps the reason and the date. By default each of its lawyers gets a re-execution to-do due 30 days later, and In Progress resumes the file.

Are lawyers reminded of their files?

Yes. By default, every three days, each lawyer with a user gets an e-mail listing their files not marked Finished, rejected ones included. The firm sets the days or turns it off.
