Analysis automations

On this page

Analysis runs one scheduled job and sends no email. The rest of what it does by itself happens when a dashboard is open or saved, or when someone opens an outside link. The options are explained in Analysis settings.

The job is active once the app is installed, and off on a test copy of the database. An administrator stops or starts it in the scheduled actions of the technical menu (Developer mode and the technical menus).

Scheduled job

Dashboard: purge share access logs

  • When: once a day.
  • What it does: deletes the visit records of the outside links that are older than 90 days, and archives the links whose Expires on has passed, so they leave Analysis/Configuration/Share Links. An expired link refuses visitors from the moment it expires, whether the job has run or not.
  • How to stop it: stop the job. The visit records then pile up, and expired links stay in the list with the status Expired.

While a dashboard is open

Automatic refresh

  • When: every Auto-refresh (min) minutes set on the dashboard's form, while the dashboard is open in a browser tab that is in view.
  • What it does: computes every widget again, as the refresh button does.
  • How to stop it: set Auto-refresh (min) to 0, the default.

KPI bar

  • When: each time a list or kanban that carries a KPI bar opens, or its search changes.
  • What it does: computes the tiles again with the search of the list, as How dashboards work explains.
  • How to stop it: clear Show Under Menu on the widget. The bar's button only hides the tiles, for your browser; they are still computed.

When a dashboard is saved

Menu entry kept in step

  • When: a dashboard with Show Under Menu is created, renamed, archived, restored, deleted, or its menu, Menu Sequence or access lines change.
  • What it does: creates, renames, moves, hides or deletes its entry in the menu of the app, and limits it to the groups named on its access lines.
  • How to stop it: clear Show Under Menu; the entry is removed.
  • When: a visitor opens a link created by Share, or its page loads its figures.
  • What it does: refuses the visit when the link is revoked or expired, when the address made Max failed attempts wrong tries within Window (min), or until the password is given; otherwise it records the visit in Access Count, once for the page and once for its figures, and in Last Access Date.
  • How to stop it: revoke the link.
