Attendance automations

On this page

Attendances runs two scheduled jobs and sends no email. The rest of what it does by itself happens when an attendance or an employee is saved. The options are explained in Attendance settings.

Both jobs are active once the app is installed and run every four hours, but each does nothing until its option is ticked for a company. An administrator stops or starts them in the scheduled actions of the technical menu (Developer mode and the technical menus).

Scheduled jobs

Attendance: Automatically check-out employees

  • When: every four hours.
  • What it does: for the companies where Automatic Check-Out is on, looks at every open attendance of an employee with a fixed schedule. When the time worked that day goes beyond the day's working schedule plus the Tolerance, it sets the check-out at that limit, with the mode Automatic Check-Out and a note in the chatter saying that the employee exceeded the allowed time.
  • How to stop it: untick Automatic Check-Out, or stop the job. Forgotten attendances then stay open until someone closes them: Add or correct an attendance.

Attendance: Detect Absences for employees

  • When: every four hours, about the day before.
  • What it does: for the companies where Absence Management is on, finds the employees with a fixed schedule, a contract start date before that day and nothing recorded that day. Each gets a one-second attendance with the mode Technical and a chatter note saying it covers an unjustified absence; it carries the day's missing hours as negative extra hours. When the employee's rules find no missing hours, the attendance is removed at once.
  • How to stop it: untick Absence Management, or stop the job. The technical attendances already created stay; delete them like any attendance.

When an attendance is saved

Extra hours computed

  • When: an attendance is created, changed or deleted, or Regenerate overtimes is chosen on a ruleset.
  • What it does: computes again the extra hours of the days concerned with the rules of the employee's ruleset, and sets their status from Extra Hours Validation: How attendance works.
  • How to stop it: remove the employee's ruleset; nothing is computed without one.

When an employee is saved

Approver right given

  • When: a user is set as the Attendance approver on an employee's Settings tab, or removed from it.
  • What it does: gives the user Officer: Manage attendances if they lack it, and takes it back once they approve nobody.
  • How to stop it: leave the field empty and give the rights on the user's form instead.
