Accounting automations

Accounting runs one job on its own and sets a few things once, when it is installed. Nothing here sends e-mail to customers or vendors. The options are explained in Accounting settings.

Daily job

Automatic matching of bank statement lines

  • When: once a day, as long as the scheduled action is active. A test or restored copy of the database has it switched off.
  • What it does: takes the bank statement lines not yet matched and tries three things in turn: a word of the line's payment reference (longer than five characters) found in the number or reference of one open invoice, bill or payment on the same side, first among the outstanding payments of the same journal, then among the invoices and bills; failing that, one open item of exactly the same amount; failing that, the reconciliation models set to match automatically. A line it cannot decide stays for the accountant in the reconciliation screen.
  • How to start or stop it: an administrator activates or deactivates the scheduled action Auto-Reconcile Bank Statement Lines in the scheduled actions of the technical menu; when off, it runs only when started from there. The platform switches it off by itself when it keeps failing for a week. It does nothing while no bank statement has been imported.

Set once, at installation

Deferred defaults

For every company that has a chart of accounts, the module fills the Deferred expense entries and Deferred revenue entries of the settings: a general journal, a current-asset account for the expenses, a current-liability account for the revenues, entries generated on validation and split by month. Change them in Accounting settings; nothing is generated until a bill or an invoice carries deferred dates.

Bank & Cash in the digest

The periodic digest e-mail the platform sends to its subscribers gains a Bank & Cash figure (Bank & Cash Moves in the e-mail): the total of the entries recorded in the bank and cash journals over the period. Turn it off in the digest's own form, reached from the general settings, where every figure has a switch; unsubscribing from the digest stops the e-mail altogether.

Welcome tour

A user who has not taken it yet, and whose onboarding tours are enabled (they are on by default for the administrator of a database installed without demo data, off for everyone else), sees a one-step tour that welcomes them to Jaah Accounting from the top bar and ends with a congratulation. It starts on the next screen they open, once the platform's earlier tours are done. It appears once per user, can be closed at any point and changes nothing in the data.
