How the accounting setup fits together

On this page

Accounting is the accounting app of Jaah with the accountant's tools added on top. This page explains how its pieces hold together, so that the first choices are made in the right order.

The package comes first

Everything starts with the company's country. Its localization package is a kit: a chart of accounts, the taxes and their report, the fiscal positions, a few journals and some defaults (the usual taxes, the deferred accounts). Installing it on the company creates all of that at once. That is why the Package is chosen before anything is posted and locked afterwards: the accounts and taxes already carry entries.

Company, accounts, taxes, journals

Piece What it is Comes from
Company The legal entity whose books these are; the settings belong to it. Created with the database
Chart of accounts Every account an amount can land on, with a code and a type. The package; a few added by hand
Taxes The rates and their accounts, one per side (sales, purchases). The package
Fiscal positions Rules that swap a tax or an account for a customer or vendor in another situation (abroad, exempt). The package
Journals The books entries are recorded in, one per kind and per bank account. The package; one per new bank account or cash box
Fiscal year The period the reports and the closing work on. The settings (Last Day), or a Fiscal Years record

An invoice uses all of them at once: it is recorded in a sales journal, its lines go to income accounts with their sales tax, the fiscal position of the customer may swap that tax, and its date places it in a fiscal year.

What this module adds

The accounting app of the platform calls its root menu Invoicing and keeps the accountant's tools out of sight. This module names it Accounting (in the English interface; the Arabic interface keeps the former name, as the menu paths of these pages show) and adds:

  • Fiscal years of any length, and the Fiscal Year group of the settings with Last Day and the invoicing switch date.
  • The accountant's links on the dashboard cards: payments matching, transactions, the lines to reconcile and to review, the last statement.
  • Bank reconciliation, with its models and a daily automatic matching (see Accounting automations).
  • Lock dates, deferred expense and revenue entries, the signature on invoices and the prediction of products on vendor bills.
  • Bank & Cash in the periodic digest e-mail.

The chart of accounts, the taxes, the journals, the currencies and the fiscal positions stay the app's own screens: this module changes nothing in how they work.

Who may do what

Access right on Accounting Can
Invoicing Customers, vendors, invoices, bills and payments. Reads the accounts and taxes that documents show.
Administrator All of the above and the configuration: settings, chart of accounts, taxes, journals, fiscal years.

Where the accounting rights package is installed, the user form offers four rights instead of two: Invoicing — Own documents (the user's own invoices, bills and payments), Invoicing — All documents, Read-only — All documents (reads everything, changes nothing) and Administrator.

Fiscal years have a switch of their own: Fiscal Years in the settings turns their menu on, and the Administrator access right adds and changes them.

Each company keeps its own settings, chart and journals; a user sees those of the companies they work in.
