Work Documentation automations
On this page
Work Documentation has no scheduled job and no e-mail template of its own. Everything it does by itself happens the moment a user acts on a document, and it all goes through to-dos. Its one option is explained in Work Documentation settings.
The approvers' to-do
- When: a document whose type has Need Approve is sent for approval.
- What it does: each approver of the type gets a to-do "Review and approve the work documentation" on the document, with a note asking them to open it and approve or reject.
- Due: Approval Deadline (days) after the day it is sent; 2 days when the setting is empty.
- How to stop it: untick Need Approve on the type. Its documents are then approved the moment they are sent, with no to-do.
Closing the to-dos
- When: the document is approved or rejected.
- What it does: every review to-do of that document is marked done, for every approver, so one decision clears the list of all of them. Other to-dos scheduled by hand on the document are left alone.
- How to stop it: it has no option.
What never happens
- No e-mail is sent by the app itself. Approvers learn of the to-do the way Jaah announces any activity assigned to them: a notification in their inbox, or an e-mail when their notification preference is e-mail.
- No scheduled job runs: a late to-do stays late until someone decides.
- Nothing changes a document after it is approved or rejected.
